Scope

We are seeking a skilled Audio-Visual Manager to join Farrer & Co and support our legal professionals in delivering high-quality presentations and external-facing events, virtual meetings, and courtroom technology solutions. The AV Manager will play a crucial role in ensuring seamless communication through audio and visual technologies, contributing to the overall success and efficiency of our legal operations. The AV Manager will play a critical role in ensuring that our professionals have the technical support they need to deliver effective and impactful presentations. They will be the main point of contact for all AV related queries and will be responsible for providing training to the Concierge team on technology used at the firm. Responsibilities

Meeting & Events Support:

  • Set up and operate audio-visual equipment for internal and external meetings, including video conferences, presentations, and virtual hearings.
  • Provide technical assistance to meeting participants, troubleshooting issues related to audio, video, and connectivity.
  • Continually reviewing feedback provided by staff and clients about their experience. Proactively put forward suggestions for continuous improvement.

Courtroom technology:

  • Collaborate with legal teams to integrate and manage AV technology in courtrooms, ensuring that all equipment and systems are functional and in compliance with legal standards.
  • Support lawyers in the use of multimedia resources during trials, hearings and depositions.

Equipment Maintenance:

  • Conduct regular maintenance checks on AV Equipment to ensure optimal performance. Conducting first line maintenance of equipment and where required organising for equipment to be repaired or replaced. Resolving or escalating issues in a timely manner.
  • Coordinate repairs and upgrades as needed along with relevant communications to the wider business management teams, also keeping abreast of emerging technologies to enhance our AV capabilities.

Training and Support:

  • Train our legal professionals and Concierge team on the use of AV equipment and software.
  • Provide ongoing technical support to staff, addressing questions and concerns related to audio-visual technology.

Collaboration:

  • Work closely with the Concierge and IT teams to integrate AV systems with existing technology infrastructure.
  • Collaborate with external vendors for equipment procurement and maintenance services.

Documentation:

  • Maintain accurate records of AV equipment inventory, configurations, and maintenance history.
  • Develop and update user guides and manuals for AV Systems.

Stay informed:

  • Stay informed about industry trends and advancements in AV technology. Make recommendations for new technologies, or improvements to enhance the firm’s audio-visual capabilities test and implement.

Best Practice:

  • Implement best practice protocols around the firm.
  • Create training guides and share with relevant stakeholders.
  • Review feedback.
  • Review processes and implement best practice procedures and protocols for the service providers. Develop SLAs and monitor performance of teams against those.
  • Implement, maintain and review annual budgets for the service providers. Submitting the annual budget request to the Facilities Manager. Continually reviewing costs and requests from subcontractors as and when they arise and against the approved budget for the year.
  • Develop great relationships with external providers, maintaining strong relationships and reviewing services provided when required.
  • Work with the Facilities Manager to manage the relationship between the service providers and the wider business. Build and maintain a strong and effective working relationship with the DMPs, PAMs, DSMs and all Business Service teams to ensure the smooth running of the service provided by the service providers
  • Keep all information about the firm’s clients and business confidential and instil this value on the service providers.
  • Manage, co-ordinate and participate in other ad hoc projects and working parties as required by the firm more widely.
Skills and Experience
  • Proven experience in audio-visual technology, preferably in a legal of professional services environment.
  • Proficiency with AV equipment such as video conferencing systems, projectors, microphones, and audio mixing consoles.
  • Strong troubleshooting skills and the ability to quickly resolve technical issues.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a commitment to maintaining high standards of quality.
  • Familiarity with legal proceedings and court processes is a plus.
